Letting of Open Spaces - Terms & Conditions
ADVERTISING
- Notices can only be displayed for one week preceding the date of the event
- Notices must not be posted on trees. Size not to exceed 3ft square
- Must be removed immediately after the event or further costs may be incurred
- A4 size or smaller can be posted on Wooburn Parish Council noticeboards. These should be sent to the Clerk who will arrange for them to be displayed the week preceding the event
Approval must be sought from the appropriate authorities for notices posted on land not owned by the Parish Council
RETAINERS
A retainer of £100 (£400 for Commercial Hirers) is payable at least 2 months in advance of the event
This should be paid as a cheque which will be returned or destroyed immediately after the event subject to compliance to the Wooburn & Bourne End Parish Council Terms & Conditions for the Letting of Open Spaces.
A charge will be levied and deducted from the retainer if:
- Posters and rubbish are not removed immediately after the event
- Grounds are not left in good condition
- Keys and padlocks are not returned
ADVICE TO HIRERS
Approval is granted subject to:
- A cheque for £100 (£400 for Commercial Hirers) as retainer being received by the Clerk prior to the event
- Clement weather conditions. The organiser must contact the Clerk one week prior to the event for confirmation that the event can proceed. Approval will not be withheld unreasonably. The Parish Council reserves the right to refuse use of a venue if the land is likely to be damaged.
- A copy of the organiser's Public Liability Insurance being received by the Clerk prior to the event
- The organiser's Public Liability Insurance being considered adequate by the Parish Council
- Details of where the organisers wish to post notices within the Parish
- Details of the parking arrangements made for the event
- Details of the equipment used to stage the event (stalls, vehicles, quad bikes or other motorised forms of transport, play equipment, fun fair rides etc.) Please note this list is not exhaustive and you are required to notify the Clerk of all equipment to be taken onto the Open Space
- Details of how any electricity or other utilities will be accessed. Where utilities are available on the Parish Council Open Space, on request the Clerk will advise if these utilities can be accessed and any associated charges
- Hire fees must be paid on or by the first day of the booking
ACCESS
Many of the Parish Council's Open Spaces require gate keys and keys to height restriction barriers. If utilities are available, these will also be locked supplies requiring a key to access. Please arrange to collect the keys from the Clerk prior to the event and ensure that they are returned on the next working day after the event. Please note: there are sewage discharge and water facilities available in Wooburn Park (right hand side car park) available for public use.
